Appointment letter or offer letter: what’s the difference?

An offer letter comes first: it offers the job and asks the candidate to accept by a date. The appointment letter is given when the person joins (or just before), and it confirms the terms of employment in full: designation, place of work, salary, probation, notice period, working hours, leave and the rules they agree to follow.

What an appointment letter should include

  • Employee name, designation, department and employee ID.
  • Date of joining and place of work.
  • Salary: annual CTC and monthly gross, with a note on statutory deductions like PF, ESI and professional tax.
  • Probation period and how confirmation happens.
  • Notice period on both sides after confirmation.
  • Working days and hours, paid leave and holidays.
  • Confidentiality and company policies, and a line that the appointment depends on genuine documents.
  • Space for the employee to sign the duplicate copy as acceptance.

Keep the terms the same as the offer letter, and as fair as labour laws require in your state. When the person leaves, our experience letter and relieving letter generators complete the paperwork. Hiring? Post the job free on eGig.
